Privacy Policy | Crop Clinic

Crop Clinic ("Crop Clinic", "we", "us") makes the Crop Clinic mobile app ("the app"), which helps farmers in Zambia track their crops, check the weather for their farm and read farming guides. This policy explains what information the app collects, why we collect it, who we share it with, and the choices you have.

In short: we collect only what the app needs to work. We do not sell your data, we do not show ads, and you can delete your account and data at any time.

1. Information we collect

Full name, email address and mobile number	To create and secure your account, let you sign in and help you reset your password.
Province, district or town, type of farmer, farm size and main crops	To show the weather for your farm and farming advice suited to your area.
Crop records: crop name, planting date, field location, notes and health status	So you can keep track of your crops on any device you sign in to.
Crop photos	The full photo stays on your phone. A small, compressed copy is saved with the crop record so it is not lost if you change phones or reinstall the app.
Leaf photos you choose to scan	Sent to an image analysis service to check for plant disease. Scan photos are not saved to your account.

Information collected when you use the app

Device location (GPS), only if you allow it	To fill in a field's location when you tap "Use current location", and to show local weather if your district cannot be found. You can refuse or turn it off at any time.
Notification token (a device identifier for push messages)	To send you farming reminders and important notices about the app.

We do not collect your contacts, messages, call history, or files on your phone, and we do not track you across other apps or websites.

2. How we use your information

To provide the app's features: your account, crop records, weather and farming guides.
To personalise advice to your province, district and crops.
To send notifications you can switch off in your phone settings.
To keep the app secure and prevent misuse.
To reply when you contact us.

We do not sell your personal information, use it for advertising, or share it with anyone for their own marketing.

3. Service providers

We use trusted providers to run the app. They process data only on our behalf to provide their service:

Google Firebase (Authentication, Cloud Firestore, Cloud Messaging, Hosting): stores your account, profile and crop records, and sends notifications. See Firebase privacy information.
OpenWeatherMap: provides weather. We send only your district name or approximate coordinates, never your name or contact details.
Google Cloud image analysis: only when you use the leaf scanner.

We may disclose information if required by Zambian law or a valid legal request.

4. How we protect your data

All data is sent over encrypted connections (HTTPS). Your profile and crop records can only be read by you when you are signed in; other users cannot see them. Your password is handled by Firebase Authentication and is never visible to us. No system is perfectly secure, but we work to protect your information.

5. How long we keep data

We keep your data for as long as your account exists. When you delete your account, your profile, crop records and synced photos are deleted straight away, as described in our account deletion policy. Our providers may keep encrypted backups and security logs for a short period (normally up to 30 days) before they are removed.

6. Your choices and rights

See and correct your data: view and edit your details in the app under Profile, Edit profile.
Delete your account: in the app under Profile, Delete account, or on our delete account page, or by emailing us.
Location and notifications: allow or block them in your phone settings at any time.
Ask us: you can ask for a copy of your data or ask questions about it by emailing us.

These rights apply under the Data Protection Act No. 3 of 2021 of Zambia and other laws that may apply to you.

7. Children

Crop Clinic is made for farmers and is not directed at children under 13. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.

8. Changes to this policy

We may update this policy. We will change the date at the top and, for important changes, tell you in the app before they take effect.
